Offboarding Clients Professionally

Every client relationship ends eventually. How it ends affects your reputation, your referrals and sometimes whether the client comes back. A clear offboarding process turns an awkward moment into a professional one.

When you decide to end the relationship

Sometimes the right decision is to let a client go: constant scope creep, late payments, disrespectful behaviour or a mismatch in expectations. If you decide to part ways:

  • Review the contract for notice periods and obligations.
  • Tell the client in a call or meeting, then confirm in writing.
  • Keep the message calm, factual and brief. Focus on fit, not blame.
  • Offer a clear transition plan.

The offboarding checklist

  • Final deliverables: complete or hand over all work in progress as agreed.
  • Access: return admin rights to websites, ad accounts and social profiles, and remove your own access afterwards.
  • Assets: deliver source files, logins you created for them, reports and documentation.
  • Data: handle personal data in line with your data processing agreement.
  • Billing: send the final invoice and settle any credits.
  • Subscriptions: transfer or cancel tools and licences paid on the client's behalf.
  • Handover notes: document campaigns, settings and recommendations for whoever takes over.

Ask for feedback

A short exit conversation or survey often reveals issues you can fix for other clients. Ask what worked, what did not and what would have made them stay.

Leave the door open

Thank the client, wish them well and stay in touch where appropriate. Many clients return after trying another option, and a smooth exit makes that far more likely.

Learn from every exit

Track why clients leave. Patterns, such as the same service or the same stage of the relationship, point to improvements in your offer or process. Our guide to client retention covers the warning signs.
