The Client Onboarding Checklist Every Agency Needs

The first few weeks of a client relationship set the tone for everything that follows. A structured onboarding process prevents delays, misunderstandings and the dreaded "so what have you actually done?" call in month two.

Before kick-off

  • Signed agreement with scope, deliverables, timelines and payment terms.
  • First invoice issued and payment terms confirmed.
  • Welcome email explaining what happens next and who the client's contacts are.
  • Onboarding questionnaire covering goals, audience, competitors, brand assets and past marketing.
  • Access requests for website, analytics, ad accounts, social profiles and CMS, ideally through a shared checklist.

The kick-off meeting

  • Confirm goals and how success will be measured.
  • Agree on communication channels, meeting rhythm and response times.
  • Clarify who approves work on the client side.
  • Walk through the first 30, 60 and 90 days.
  • Ask the questions the questionnaire missed, such as what went wrong with previous agencies.

Getting the information you need

Clients often know more than they think to share. Useful prompts include:

  • Who are your best customers, and why do they choose you?
  • What do customers ask most often before buying?
  • What has worked before, and what definitely has not?
  • Are there sensitive topics, legal limits or internal politics we should know about?

Internal setup

  • Create the project in your management tool with tasks and owners.
  • Brief the delivery team, including any white-label partner.
  • Set up reporting dashboards and baseline measurements.

The step most agencies forget

Set expectations about results. Explain which outcomes come quickly and which, like SEO, take months. Write it down and refer back to it. This one step prevents most early disappointment.

First month follow-up

Schedule a short review after the first month to check satisfaction, share early wins and adjust anything that is not working.
