Client Reporting That Clients Actually Read

Many agency reports are long, full of charts and barely read. A good report is short, focused on business outcomes and ends with clear next steps.

Start with what the client cares about

Before designing a report, ask what the client's boss asks them about. It is usually leads, sales, cost per acquisition or growth, not impressions or follower counts. Lead with those.

A simple structure

  1. Summary: three to five sentences on what happened and why.
  2. Key metrics against goals and the previous period.
  3. What we did this period.
  4. What we learned.
  5. Next steps and any decisions needed from the client.

Explain in plain language

Avoid jargon. If a metric needs explaining, explain it once in a footnote. Interpret the numbers; do not just display them.

Show progress when results take time

Channels such as SEO need months. Show leading indicators, such as rankings, indexed pages, content published and technical fixes completed, and explain how they lead to the outcomes the client wants. This reassures clients that traffic and leads will follow.

Automate the data, not the insight

Dashboards and automated data pulls save hours. The interpretation and recommendations should still come from a person who knows the account.

Email reporting templates

For email marketing, a reusable template that covers deliverability, engagement, conversions and revenue makes reporting consistent and fast.

Deliver it consistently

Agree on a reporting rhythm and stick to it. Follow up with a short call to discuss the report rather than sending it into silence.
