Repairing a Damaged Client Relationship

Even good agencies make mistakes: a missed deadline, a campaign error, a miscommunication that spirals. What matters is how quickly and honestly you repair the damage.

Step 1: Acknowledge it fast

Do not wait for the client to raise it. Contact them as soon as you know something went wrong. Speed signals respect.

Step 2: Take responsibility

Explain what happened in plain language. Avoid excuses, jargon and blaming others, including partners or tools. The client hired you; the responsibility is yours.

Step 3: Listen

Give the client space to express frustration. Ask what the impact was for them. Sometimes the real problem is bigger, or different, than you assumed.

Step 4: Fix the immediate issue

Present a concrete plan to resolve the problem, with dates and owners. Then deliver on it, ideally ahead of schedule.

Step 5: Prevent it happening again

Explain what you are changing in your process: an extra review step, a new checklist, a different reporting rhythm. This turns an apology into a reason to trust you again.

Step 6: Consider a gesture

Where the client suffered real cost, a credit, extra work or a free audit can show goodwill. Use this thoughtfully; it should support the fix, not replace it.

Step 7: Rebuild through consistency

Trust returns through reliable delivery over the following weeks. Increase communication temporarily, share progress proactively and check in personally.

When repair is not possible

Sometimes the relationship cannot be saved. If so, offboard professionally and learn from the experience. Our guide to offboarding clients explains how.
