Writing Website Proposals

A website proposal is often the moment a deal is won or lost. Proposals that list features and a price tend to be compared on price alone. Proposals that show understanding of the client's business are compared on value.

Step 1: Discovery before writing

Never write a proposal from a single email. Hold a discovery call to understand:

  • the business goals behind the website,
  • the audiences and their needs,
  • what is wrong with the current site,
  • must-have features and integrations,
  • timeline, decision-makers and budget range.

Step 2: Structure the proposal

  1. Summary of the situation and goals, in the client's own words.
  2. Proposed approach, explaining how the website will meet those goals.
  3. Scope and deliverables: pages, features, content, integrations, training.
  4. What is not included, to prevent misunderstandings.
  5. Timeline with key milestones and client responsibilities.
  6. Investment: ideally two or three options at different levels.
  7. Why you: relevant case studies and process.
  8. Next steps, with a clear way to accept.

Step 3: Present and follow up

Walk the client through the proposal in a call instead of only emailing it. Answer questions live, then follow up within a few days.

Tips that increase win rates

  • Mirror the client's language and priorities.
  • Offer tiered options so the conversation is about which option, not whether.
  • Include ongoing care, such as website maintenance, from the start.
  • Keep it concise and visual.
